ISO 27001:2022 Annex A 5.34 is a preventive measure that helps keep risk at bay, through the production of guidelines and procedures that meet the legal, statutory, regulatory and contractual obligations of an organisation with respect to the storage, privacy and protection of Personal Identifiable Information (PII) in all its forms.

General Guidance on ISO 27001:2022 Annex A 5.34

Organisations ought to consider PII protection a specialised business practice and produce policies exclusive to their organisation and the particular types of PII most regularly encountered in their daily activity.

The organisation should compile, formulate and execute policies dedicated to the preservation, privacy and protection of PII, ensuring that all staff who process PII are aware and adhere to them – not only those who handle it as part of their duties.

Annex A 5.34 requires organisations to formulate policies that take into account individual roles, responsibilities and data controls across the organisation in a well-ordered, succinct manner.

A top-down approach is the most effective and efficient way to go about this, wherein a Privacy Officer is appointed. The role of this individual is to guide employees and third-party organisations in regards to PII and to offer counsel to senior management on complying with the organisation’s obligations.

Organisations should abide by regulatory, legislative and contractual regulations, and incorporate technical and operational procedures to effectively manage PII while stored in and flowing through the business.

Supplementary Guidance on Annex A 5.34

Legislation concerning Personally Identifiable Information (PII) differs from one country to another, even in territories that have devolved administrations or non-federal governments.

Organisations should review their personal information handling needs and think about any international effects resulting from the collection, processing, or sharing of personal information across different countries.

While ISO 27001:2022 does not provide specific advice on how to accomplish this, a range of ISO documents provide more comprehensive information on the subject, including:

  • ISO/IEC 29100 – provides guidance on the protection of Personal Identifiable Information (PII) within Information and Communications Technology (ICT) systems. It sets out the requirements for protecting PII and provides an overview of the measures needed to ensure secure processing of PII.
  • ISO/IEC 27701 – provides a framework for organisations to manage privacy information. It allows them to establish, implement, maintain and continually improve a privacy information management system. This system enables organisations to protect the privacy of individuals, prevent the misuse of personal data, and comply with applicable laws and regulations.
  • ISO/IEC 27018 – is a code of practice for implementing the protection of Personally Identifiable Information (PII) within public cloud infrastructure. It provides guidelines for protecting PII and thereby safeguarding the privacy of individuals. The code applies to organisations that process PII within public cloud infrastructure.

Changes and Differences from ISO 27001:2013

ISO 27001:2022 Annex A 5.34 replaces ISO 27001:2013 Annex A 18.1.4 (Privacy and Protection of Personally Identifiable Information) in the revised 2022 standard.

ISO 27001:2022 Annex A 5.34 is almost identical to its 2013 version, with two key differences:

  1. ISO 27001:2022 Annex A 5.34 recommends that organisations contemplate a subject-specific policy when developing and implementing policies and procedures for personal information.
  2. ISO 27001:2022 Annex A 5.34 puts more emphasis on safeguarding Personal Identifiable Information (as stated in the Annex A Control title) as well as standard privacy and protection regulations.
